Portfolio Users
What is a portfolio user? Kudocs offers professional advisor customers a portfolio tool to manage all their customer companies in one place. As professional advisors often have multiple users within their organisation to whom they want to grant access to Kudocs, rather than adding them as a user to each company in the portfolio one-by-one, they can add them as a portfolio user, which gives them access to multiple companies at once.
How do I add a new portfolio user to Kudocs? Very easily via Portfolio Settings > Invite Portfolio Users. Select to whom you want to grant access, select the user permission and that’s it. Kudocs will then send them a personalised invitation email to sign up (for no cost to you or them) and get access to the portfolio. Only Portfolio Admins can add other portfolio users.
What happens if a user already has a user account in Kudocs, but you now want to give them access to your portfolio? This is easy. If you add them as a portfolio user and you use the same email address as they currently use for Kudocs, then when they next login, they will have access to the portfolio as well.
How do I remove a portfolio user from Kudocs? Very easily via Portfolio Settings > Edit permissions> Remove User Portfolio Users. Only Portfolio Admins can remove other portfolio users.
How do I edit a portfolio user’s permission levels? Very easily via Portfolio Settings > Edit permissions and then select the new permission level you want. Only Portfolio Admins can edit portfolio user permissions.
What are the different types of portfolio user permission and how do portfolio users relate to company users? A portfolio user has rights at the portfolio level (e.g. the right to add/ remove other portfolio users) and at the company level (e.g the right to make changes to a company). The level of company user permission depends on the type of portfolio user permission granted:
- Portfolio Admin
Portfolio level: Can edit portfolio settings, invite new portfolio users and edit portfolio user permissions. Has access to all companies in the portfolio. Can add existing and incorporate new companies to the portfolio. Can view and edit all draft incorporations being worked on by other portfolio users. Can upgrade, downgrade and cancel subscriptions and can switch subscriptions between monthly and weekly billing.
Company level: Has Admin user rights for all companies in the portfolio (see Settings>Users within a company for details on Admin user rights).
- Portfolio Member (all companies)
Portfolio level: Has access to all companies in the portfolio (in the portfolio already, or added in the future). Part of the Portfolio Member user setting (controlled by a Portfolio Admin) is whether the user can add existing and incorporate new companies to the portfolio and can view and edit all draft incorporations being worked on by other portfolio users.
Company level: Has Admin user rights for companies in the portfolio (see Settings>Users within a company for details on Admin user rights).
- Portfolio Member (selected companies)
Portfolio level: Has access only to companies in the portfolio selected by Portfolio Admin. Part of the Portfolio Member user setting (controlled by a Portfolio Admin) is whether the user can add existing and incorporate new companies to the portfolio.
Company level: Has Admin user rights for companies in the portfolio (see Settings>Users within a company for details on Admin user rights).
- Portfolio Viewer
Portfolio level: Has access only to companies in the portfolio selected by Portfolio Admin.
Company level: Has Read (all) user rights for all companies in the portfolio (see Settings>Users within a company for details on Read (all) user rights).
Does Kudocs charge per portfolio user? No – like all user permissions in Kudocs, there is no charge.
Is there a limit to the number of portfolio users a portfolio can have? No – like all user permissions in Kudocs, there is no limit.
